Zoomies on Wheels (“we,” “us,” “our”) cares about your privacy. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to zoomiesonwheels.co and all services we provide.

1. Information We Collect

Information you give us

• Contact details: name, email, phone number, and service address — needed to schedule and deliver sessions.
• Dog details: dog name, breed, age, weight, health and behavioral notes you choose to share, and emergency vet information.
• Payment details: card information is collected directly by Stripe; we receive only a token, the last 4 digits, and brand. We do not store full card numbers on our servers.
• Account login: we use magic-link login (a one-time link emailed to you). We don’t store passwords.
• Communications: any messages you send us via the contact form, email, SMS, or phone.
• Waiver acknowledgement: when you accept our Waiver & Consent Form we record the date, time, and IP address of your acceptance for our records.

Information we collect automatically

• Usage data: pages visited, time on site, referring URL, device and browser information, approximate location derived from your IP.
• Cookies and similar technologies: see Section 5 below.
• Session content: photos and short video clips we take during your dog’s treadmill sessions. We may use these as described in our Terms — Photo & Video.

2. How We Use Your Information

• To schedule, deliver, and bill for sessions and memberships.
• To communicate with you about appointments, session recaps, account changes, and important service updates.
• To send occasional marketing communications (you can opt out at any time — see Section 6).
• To improve our website, sessions, and customer experience using aggregate usage data.
• To comply with our legal obligations and enforce our Terms.
• To protect the safety of our staff, your dog, and other clients.

3. How We Share Your Information

We do not sell your personal information. We share it only with the providers we need to deliver the service:

• Payment processor: Stripe handles credit card processing and fraud prevention.
• Email delivery: Resend delivers transactional and marketing emails on our behalf.
• Hosting & infrastructure: Vercel (website), Railway (application API), MongoDB Atlas (database), Cloudflare R2 (file uploads).
• Analytics: Google Analytics, Meta Pixel, and Microsoft Clarity may be used to measure how visitors use our site. They collect device, browser, page-view, and interaction data on our behalf.
• SMS delivery (if applicable): we may use a telecom provider (e.g. GoHighLevel, Twilio) to deliver appointment reminders and notifications by SMS.
• CRM platform: LeadProspecting.AI provides the customer management system behind our website.
• Legal & safety: we may disclose information when required by law, court order, or to protect the rights, property, or safety of our company, our customers, or others.
• Business transfers: if Zoomies on Wheels is involved in a merger, acquisition, or sale of assets, customer data may be transferred as part of that transaction.

4. Data Retention

We retain your information as long as your account is active or as needed to provide service, comply with legal obligations, resolve disputes, and enforce agreements. You can request deletion of your account at any time (see Section 7) — note that some records (e.g. tax-relevant billing records, waiver acknowledgements) may be retained for the period required by law.

5. Cookies & Tracking Technologies

We and our analytics providers use cookies and similar technologies for purposes including:

• Keeping you signed in to your account.
• Remembering preferences (e.g. don’t-show-this-again dismissals).
• Measuring website performance and traffic patterns.
• Understanding which marketing channels bring visitors to our site.

Most browsers let you block or delete cookies. Doing so may affect some site features (e.g. you may have to log in again). You can also opt out of Google Analytics with the browser add-on.

6. Marketing Choices

We may email or text you about new services, offers, or content we think you’d like. Every marketing email has an Unsubscribe link, and you can reply STOP to any marketing SMS to opt out. Opting out of marketing doesn’t stop transactional messages like appointment reminders or billing notices — those are necessary to deliver your service.

7. Your Rights

Depending on where you live, you may have the right to:

• Access the personal information we hold about you.
• Correct inaccurate information.
• Delete your account and associated personal information (subject to legal retention requirements).
• Receive a copy of your information in a portable format.
• Object to or restrict certain processing.
• Withdraw consent where we relied on consent to process your data.

8. Children

Our services are intended for adults (18+). We don’t knowingly collect personal information from children under 13. If you believe a child has provided us information, please contact us so we can remove it.

We use reasonable technical and organizational measures — encryption in transit (HTTPS), access controls, tokenized payments — to protect your information. No system is perfectly secure, though. 10. Changes to This Policy

We may update this Privacy Policy from time to time. The current version is always posted at this URL with the “last updated” date above. Material changes will be noted prominently or communicated by email to active members. Your continued use of our services after a change indicates acceptance of the updated Policy.
